How do user roles work in Bob Go?

Bob Go user roles let you control what each team member can access and manage on your account.

Assigning the correct role helps ensure that users only have access to the tools and information they need.

What user roles are available?

Bob Go has four user roles:

Account super user

An Account Super User has full administrative access to the Bob Go account.

This is typically the account creator or a user who needs complete control over account settings and operations.

  • Rates at checkout
  • Reports
  • Account, including billing
  • Settings

Good to know: Account Super Users can also add and manage other users on the account.

Account user

An Account User has access to day to day shipping and order management without full administrative control.

This role is useful for team members who need to manage operations but should not have access to areas such as billing or account settings.

  • Resource hub

Shipping agent

A Shipping Agent has limited access and can only view and manage orders or shipments assigned to them.

This role is particularly useful for businesses operating from multiple warehouses, stores or fulfillment locations.

  • Assigned orders
  • Assigned shipments
  • Resource hub

How do shipping agents work with multiple locations?

Shipping Agents can be linked to specific fulfillment locations so they only work with the orders or items relevant to that location.

An Account Super User can link:

  • A Shopify location to one or more Shipping Agents
  • A WooCommerce shipping class or vendor to one or more Shipping Agents

This allows businesses with multiple fulfillment locations to control which team members can fulfill specific orders.

Good to know: Multiple Shipping Agents can be linked to the same Bob Go collection address and Shopify location, or WooCommerce shipping class or vendor. This allows another agent to take over if the primary Shipping Agent is unavailable.

How do I set up shipping agents for Shopify?

  1. Go to Sales channels in the left navigation menu.
  2. Select your Shopify sales channel.
  3. Open the channel settings.
  4. Associate each Shopify location with the relevant Bob Go collection address and Shipping Agent or Shipping Agents.

Linked Shipping Agents can only fulfill orders containing items assigned to their Shopify location.

Once fulfilled, the courier will collect the shipment from the associated Bob Go collection address.

How do I set up shipping agents for WooCommerce?

  1. Go to Sales channels in the left navigation menu.
  2. Select your WooCommerce sales channel.
  3. Open the channel settings.

WooCommerce uses shipping classes and, where applicable, vendors through the Dokan plugin to associate Shipping Agents with Bob Go collection addresses.

Items linked to the relevant shipping class or vendor can then be fulfilled from the designated collection address.

Where can I manage shipping agent settings?

Go to Sales channels in the left navigation menu and select Shipping agents from the submenu.

Store agent

A Store Agent is designed for staff managing Pickup in Store collections.

The role gives store employees access only to the functionality required to verify and complete a customer collection.

A Store Agent can:

  • Access the pickup reference screen
  • Enter and verify the customer's OTP
  • Complete the collection once the OTP is successfully verified

Store Agents do not have access to general order management, customer information, inventory or administrative settings.

How does pickup in store verification work?

When a customer arrives to collect their order, they provide their reference and the required One Time Pin (OTP).

The Store Agent enters the OTP into Bob Go.

Once the OTP is successfully verified, the order is marked as completed or collected.

How do I add or manage users?

Only an Account Super User can manage account users.

  1. Go to Account.
  2. Scroll to the Account users section.
  3. To add a user, enter their name and email address and select the appropriate role.
  4. To update an existing user, select the user and edit their details or assigned role.

Choosing the correct role helps ensure each team member has access to the functionality they need without giving unnecessary account permissions.
